Conference Room Pilots (CRPs): How We Validate Before You Commit

A Conference Room Pilot is a hands-on working session where your team drives the configured system through your own real-world scenarios — not a demo you watch. We run CRPs as an iterative three-cycle cadence, because the goal is to fail fast in a controlled room, not discover a gap after go-live. Each cycle raises the bar.
CRP 1 — Foundation & Core Design Validation 

We validate the core architecture — company and job structure, cost code framework, and financial backbone — and run the highest-risk scenarios end-to-end. Goal: confirm the foundation is right. Outcome: a validated core design, a prioritized issue list, and a confirmed scope for the rest of the build.

CRP 2 — End-to-End Process Validation 

We resolve the items raised in CRP 1, connect the modules, and test full business processes — a complete billing cycle, change-management flow, and pay cycle. Goal: prove the connected workflow. Outcome: validated end-to-end processes, locked configuration, and a shrinking issue list.

CRP 3 — Final Validation & Go-Live Readiness 

Your super users run real scenarios independently while we observe. We validate the reports and outputs your business relies on. Goal: confirm the system is trusted. Outcome: client sign-off, confirmed user competency, and a go-live-ready configuration.

Gap Solutioning & the Parking Lot 

Not every gap can — or should — be solved live in the room. When a gap surfaces between standard CMiC and how you operate, we capture it in a structured "parking lot" so sessions keep moving and nothing is lost. Each item is then worked through a disciplined process: we log it, identify the root cause, and solve it at the highest possible level — adjusting the business process or configuration before ever resorting to customization. Every item gets an owner, a resolution, and is re-tested in the next CRP cycle.
